Season passes let your regulars pre-pay for unlimited matches during a set period. They buy once, then book instantly all season — no payment required each time.
How passes work
- •Date-based validity — Passes are valid between two dates (e.g., January to June)
- •Unlimited matches — No limit on how many games they can book
- •Instant booking — Pass holders skip payment and book with one tap
- •Blue badge — Pass holders show with a blue indicator in your pool
Tip
Passes work great with "Pass or Pay" mode — regulars use their passes, casuals pay per match.
Creating a pass
1
Go to Payments
Open Payments from your admin menu.
2
Open Passes tab
Tap the Passes tab to see your pass management.
3
Tap Create Pass
You'll see a form to set up your new pass.
4
Set the details
Enter the pass name, your price (what you receive), and the valid dates.
5
Optional: Limit sales
Set a maximum number of passes to sell (great for creating urgency).
Pricing your passes
Like match payments, you set what you want to receive. Transaction fees are added on top for the player.
Pricing tip: Think about your typical attendance. If you charge £5 per match and run 20 matches in a season, someone who plays every week pays £100. A £50 pass is a great deal for regulars and guaranteed income for you.
Price changes
You can change a pass price any time, but it only affects new purchases. Players who already bought keep their original terms.
Limited vs unlimited passes
Unlimited
Anyone can buy, no cap on sales. Good for groups where you want to encourage as many pass holders as possible.
Limited
Set a maximum number of passes (e.g., "First 10 only"). Creates urgency and exclusivity. Players see "5 remaining" when browsing available passes.
Managing pass holders
From the Passes tab, tap Buyers on any pass to see who's purchased it.
For each buyer, you can issue a refund. You'll choose from:
- •Standard refund — Return their payment minus transaction fees (recommended)
- •Full refund — Return everything including fees (you cover the cost)
- •No refund — Revoke the pass but keep the payment
Refunding always revokes the pass immediately. The player can buy again if they want.
Tip
Refunding a pass doesn't affect matches they've already attended — their history stays intact.
Pass status
- •Active — Valid today, players can book with it
- •Upcoming — Starts in the future, available for purchase but can't be used yet
- •Expired — End date has passed, no longer usable
- •Archived — Hidden from players, useful for old passes you don't want cluttering the list
Archiving passes
Once a pass has buyers, you can't delete it (to preserve the financial record). Instead, archive it — this hides it from players while keeping the history.
Passes with no buyers can be deleted normally.
What players see
Players find passes in My Settings → Payments. They see:
- •Available passes — What they can buy, with prices and validity dates
- •My passes — Passes they own, when they expire, and how many matches they've used them for
